Klaviyo Universal Content: How to Keep Every Campaign On-Brand Without Rebuilding It
Most Klaviyo accounts start tidy. There is one template, one footer and one button style. A year later there are forty templates, three versions of the footer, a holiday banner that never got removed and a legal line that was updated in some emails but not others. Nobody decided to make a mess. It happened one campaign at a time.
Klaviyo’s universal content is the feature built to stop that drift, and many teams use it far less than they could. Here is how it works and how to set it up so every campaign starts from the same approved parts.
What universal content is
Universal content lets you save a block or a section once and reuse it across emails. According to Klaviyo’s help center, publishing changes to universal content updates every linked instance, including scheduled campaigns and live flows. In practice, that means you can change your footer, your shipping banner or your social links in one place and have the change reach every email that uses it.
That is the benefit, and it is also the reason to be careful. A change you publish to a universal block does not stay in the email you are working on. It reaches scheduled campaigns and flows that are already running.
What to make universal
The best candidates are the parts of an email that should be identical everywhere:
- The footer, including your postal address, unsubscribe and preference links, and social icons.
- The header, with your logo and any navigation links.
- Shipping and returns lines, which change a few times a year and are easy to forget.
- A loyalty or rewards block, if your program terms appear in many emails.
- Standing legal copy, such as exclusions that apply to every promotion.
Content that changes every campaign, such as the hero image, the offer and the featured products, should stay outside universal content. Making it universal only creates the risk of one campaign’s offer appearing in another.
Save sections, not just blocks
You can save whole sections, which hold several blocks, as well as single blocks. A section is often the more useful unit: a footer section with the address, links and icons together is easier to keep consistent than four separate blocks. One limit to note: a section cannot contain another section.
Name each universal item clearly, so anyone building a campaign can find it. “Footer – US – current” is far more useful than “footer v3 final”.
Know how to break the link
Sometimes one email needs a slightly different version of a shared block. Klaviyo lets you unlink a single instance and edit it on its own. Once you do, that instance stops receiving future updates to the universal content.
That is useful for one-off exceptions, but it is also how drift creeps back in. Keep a short list of where you have unlinked universal content, and review it every quarter.
Two other behaviors are worth knowing. Deleting universal content removes it from the library and unlinks it from every email and template that uses it; the content stays in those emails, and the deletion cannot be undone. And when a flow email is marked as transactional or submitted for transactional review, its universal blocks are unlinked automatically, so later edits will not reach it.
Write a simple change process
Because a published change reaches scheduled campaigns and live flows, treat universal content as a shared asset:
- Decide who is allowed to edit universal content. One or two people is usually enough.
- Before publishing a change, check which scheduled campaigns and flows will receive it.
- Make the change, preview a scheduled campaign that uses it, and only then publish.
- Note the date and the reason for the change in a shared log.
This takes a few minutes and prevents the kind of mistake where a holiday banner appears in a January welcome flow.
Pair it with brand styles and a small template library
Universal content works best alongside two other habits: a short list of approved templates, and clearly defined brand styles for fonts, colors and buttons. Together they mean every new campaign starts from approved parts, and designers spend their time on the offer and the products instead of rebuilding footers.
When to get help
Setting this up once is manageable. Keeping it clean while also designing every weekly campaign is where many small teams fall behind. If your team would rather focus on offers and strategy, done-for-you Klaviyo email design from Nexmail delivers production-ready campaigns into your existing Klaviyo account, built for Klaviyo’s template engine, with your lists, segments and flows left exactly where they are.
However your campaigns get made, decide which parts are shared, protect them, and let every email start from the same approved foundation.
